Background

Plan International is an international child centred development organisation working in 50 developing countries. With a focus on long term sustainable development, Plan assists children and families across a range of projects including education, health, livelihoods and water/sanitation.  Plan also engages in humanitarian work.

Established in 2003, Plan International Ireland is a dynamic organisation that supports Plan’s work worldwide with a particular focus on West Africa.  Funding is received from a variety of sources including through the public via child sponsorship, Irish Aid, EU, UN bodies, trusts, foundations and corporate firms.

Plan International Ireland now has an exciting opportunity for a dynamic development professional to join a growing organisation in a vibrant work environment where quality delivery and support for innovation are integral to this role and the wider achievement of Plan Ireland’s development objectives.  This post will work with a strong team of specialists in the management of a diverse and growing portfolio of child centred development programmes.

General Description of the Role

Plan International Ireland has significantly grown its grant portfolio over the last few years, but needs to strengthen its systems and processes to ensure greater effectiveness in the management and reporting of grants. This role will support both the development and DRM unit.

Grants Management – Systems

Strengthen and maintain Plan International Ireland’s grants management system (Salesforce) in order to ensure effective grant budget and report tracking, in close coordination with programme officers and finance staff

Provide training to staff on the use of Salesforce and offer follow-up support and advice

File and maintain the relevant contract documents for grants – both active and archive – in order to comply with donor requirements

Provide relevant information on donors and grants for effective decision-making

Donor Compliance and Relations

Ensure that donor compliance issues are taken into consideration when developing new proposals by supporting Plan International Ireland programme staff and country office staff in the development of proposals

Review donor agreements from a donor compliance point of view (before signing) and provide summary of compliance issues where the donor is new to Plan Ireland programme staff and to the country office

Maintain and regularly update a database of all potential donors and their compliance rules

Regularly update relevant management staff and Programme Officers on new donor strategies, geographical and thematic priorities, future calls and requirements for applications.

Work closely with the Grants Accountant to understand the type of analysis that donors undertake when they conduct audits with particular emphasis on ECHO, EU, Irish Aid and country specific donors as required, and put in place measures to address any potential risks relating to audits

Information Management

Liaise with Plan International’s Institutional Funding unit and programme quality team to learn and share information within Plan International Ireland programme team on relevant policies and procedures relating to donor and grant management

Track Plan evaluations and facilitate learning sessions

Provide input to Plan International initiatives to strengthen compliance with donor requirements and proposal documents

Attend and/or support conferences and meetings on issues relating to donor and/or Plan International compliance

Other

Track small grants and liaise with marketing team on proposal development

Prepare communications on grants or projects if required

  • Carry out research on donor trends to inform programme and strategy development.
  • Contribute to the strategic planning process

Personal Specification

  • Master’s degree in development studies or relevant discipline
  • Demonstrated experience of systems, including Salesforce
  • Excellent report writing and demonstrable research skills
  • Familiarity with institutional donors, including Irish Aid and EC funding mechanisms
  • Knowledge of West Africa
  • Fluency in French
